The electronic invoice is the formality that separates a creator working with hotels, companies and agencies from one working only with acquaintances. In Costa Rica it is not an accounting detail: it is the entry door to the clients who pay well.

Why it decides your client list

A formal company needs to back every expense. If it cannot record what it pays you as a contracted service, it simply does not hire you, however good your material is.

Hotels, free zone companies, advertising agencies and any brand with orderly books are in that situation. Without an electronic receipt, those conversations end at the first email.

What registering involves

You register as a taxpayer with the revenue office, declare the economic activity you will carry out, and enable yourself to issue electronic receipts.

Then you need a way to issue them: free and paid solutions both exist, and most accountants will configure the process in a single session. The initial investment is low compared with the first formal client it unlocks.

What your invoice must carry

  • Your details as issuer and the client's as recipient, with identification numbers.
  • A real description of the service: production of video pieces and, on a separate line, the usage licence.
  • Quantity, unit price and subtotal.
  • The value added tax applicable to the service.
  • Total and payment terms.

Splitting production and licence into two lines puts in writing that advertising use is its own item, and makes it easier to charge for extending it later.

Clients abroad

Invoicing a client outside Costa Rica is treated differently from a local one. This is where people make the most mistakes and where an accountant pays for themselves.

Do not improvise: ask before issuing the first international invoice, especially if you will be paid into a dollar account or through a platform.

When to take the step

When you see income repeating, not before and not long after. Many creators do two or three small jobs, confirm there is demand, and then formalise so they can accept the first serious client.
